Program Assistant I (PT)  –  Family Works 


Job description

The Program Assistant will provide support to Youth and Workforce Services with employment counseling, youth opportunities and family resources for low and moderate income families residing in Near North area under the FamilyWorks CHA contract. This program is performance-based, and success is measured in part by meeting placement and retention goals. Local travel between worksites is required for this position.



Essential duties & responsibilities

  • Maintenance database of employers for direct referral for subsidized and unsubsidized placements

  • Assists in conducting assessment with clients to determine the assets and barriers to personalized goals

  • Conducts outreach to clients to connect them to appropriate services for skill enhancement, continuing education, customized training and youth programs, job readiness, etc.

  • Maintains client files and records case management activity in centralized database

  • Work with Youth and Workforce services to coordinate monthly events and on-site trainings

  • Work with the resident services staff to disseminate information to residents and connect clients with related support services

  • Provide staff coverage in the Technology Learning Center to help clients take advantage of electronic job searches and educational and youth resources

  • Provide staff support for on-site youth activities that are employment or technology based

  • Other duties assigned by Senior Management



Qualifications & Competencies

Minimum degree and experience required

  • Essential skills for this position include: problem sensitivity, critical thinking, time management, establishing and maintaining interpersonal relationships with young people

  • Excellent verbal and written communication skills

  • The ability to interact positively with diverse groups of clients with various educational and economic backgrounds

  • Excellent organizational skills and knowledge of MS Office and experience with MS Excel and a centralized database client tracking system is necessary.  Experience in Salesforce CRM is a preferred



Job Requirements

  • High school diploma with college coursework and comparable work experience

  • 1 year demonstrated experience working in a social service, education or related field providing service coordination

Working Conditions
Work is performed largely in an office environment. Hours of work will generally be during regular business hours and average at least 40 hours a week. There will be some variation in work hours due to special projects, deadlines and other concerns.

Will have strong relationships with members of Executive Director, Senior VP/General Counselor, Program Managers, Property Management Residence, Operations, and Human Resources, as well as various vendor and provider representatives.

Driving Requirements
Need to utilize personal transportation to inspect Holsten Management Corporation properties, to meet with site staff, and vendors, and attend outside meetings and events. Must have valid driver’s license and automobile insurance coverage.

Travel Requirements
Frequent need (20-50% of the time) to utilize personal transportation to meet with site staff and/or vendors at Holsten Management Corporation properties, and to coordinate routine maintenance. Must have valid driver’s license and automobile insurance coverage.
